Data Rooms

Lets you create secure spaces to store, organize, and share important documents — with your team, your investors, or anyone you send a link to. Each data room has its own files, folders, sharing rules, and activity log.

Who can use it

  • Anyone in your organization with read access to the Data Rooms module can see existing rooms.

  • Creating, uploading, editing, and deleting need the matching create / update / delete permissions.

  • Your email must be verified to create a new data room.

  • The feature must be enabled on your plan.

How to get here

From the sidebar, open Profile & Company and click Data Rooms.

Step-by-step: create a data room

  1. On the Data Rooms page, click Create (top right). If you have none yet, you'll see Create Your First Data Room in the centre.

  2. Fill in:

    • Name — for example, Series A Fundraising.

    • Description (optional) — what this room contains.

    • Shared Access — pick the teammates who should be able to open it.

  3. Click Create Data Room.

Your new room appears in the grid. Click it to open the browser view.

Step-by-step: upload files

Inside a data room (on the Files tab):

  1. Click Upload Files (or the Upload button on mobile).

  2. Pick one or more files from your computer.

  3. The upload manager shows progress for each file.

You can also drag and drop files anywhere on the file area — a "Drop files to upload" overlay appears, and the files upload to whichever folder you're in.

If you upload a file that already exists in the same folder, Nautis asks how you want to handle the conflict (keep both, replace, or skip).

Step-by-step: organize with folders

  1. In a data room, click New Folder.

  2. Type a name and confirm.

  3. Open the folder by clicking it in the list.

  4. The breadcrumb at the top of the file area shows your current location and lets you jump back up the tree.

To move items into a folder:

  1. Click the Select button (or open the row's action menu).

  2. Tick the items you want to move.

  3. Open the bulk actions toolbar and choose Move.

  4. Pick the destination folder.

Each item's action menu also has Rename, Move, Copy to another data room, Add tags, Download, View versions, and Delete.

Step-by-step: tag files for easy searching

  1. In a data room, click Manage Tags to create the tags you want (each has a name and a color).

  2. From any file's action menu, choose Add tags and pick from your tag list.

  3. Use Quick search above the file list, or click the filter icon for Advanced Search to find by tag, file type, date range, and more.

Step-by-step: control who can view (internal team access)

You can change who on your team has access at any time.

  1. Open the Data Rooms list (the grid of rooms).

  2. Click the three-dot menu on a data room card.

  3. Choose Edit.

  4. Update Shared Access — add or remove teammates.

  5. Click Update Data Room.

People you remove will no longer see this data room in their list.

Step-by-step: share with investors or external people

You have two ways to share a data room (or specific items) with someone outside your team.

To create a share link:

  1. Inside a data room, click the Share button (top right) and choose Create Share Link.

  2. Pick Public (anyone with the link) or Private (passcode-protected). For private links, type a passcode or click the generator to make a random one.

  3. Optionally select which folders or files this link should expose. Leave blank to share the whole room.

  4. Toggle Allow downloads if recipients should be able to save files.

  5. Pick an expiration — 1 day, 1 week, 1 month, 3 months, 6 months, or 1 year.

  6. Click to create the link, then copy it.

To share via email:

  1. Click Share and choose Share via Email.

  2. Enter recipient emails and an optional message.

  3. Send. Nautis emails them a link to the shared content.

To manage existing share links, open the Sharing tab inside the data room. From there you can see each link's settings, copy it again, revoke it, or check who has opened it.

Step-by-step: track activity and access

Inside a data room, click the Analytics tab to see who has opened it, which files they viewed, and when. This is especially useful during a fundraise.

The Settings tab lets you adjust notification preferences for this specific data room.

Tips & limits

  • The data room owner and any teammate with Shared Access can see the room from their own Data Rooms page.

  • Share links are independent of internal access — a public or private share link works even for people without a Nautis account.

  • Every file keeps a version history. Open a file's action menu and choose to view versions to see past uploads or roll back.

  • Use the search field on the main Data Rooms page to quickly find a room by name.

FAQ

Can investors see my files without creating an account?

Yes. A share link opens in any browser. Use a private link with a passcode and an expiration date for extra protection.

Will recipients be able to download files?

Only if you turn on Allow downloads when creating the share link. Otherwise they can preview but not save.

Can I revoke access after sharing?

Yes. Open the Sharing tab inside the data room and revoke the link. The link stops working immediately.

What file types are supported?

Most common business document and media types upload fine (PDF, Office, images, video). The preview window supports many of them directly in the browser.

Can I share just one folder, not the whole room?

Yes. When creating a share link, pick specific folders or files instead of leaving the selection empty.
