What it does

Nautis Invoices is a full invoicing tool for billing your customers. You add clients and products once, then generate professional PDF invoices, send them by email, track who has paid, record partial payments, set up recurring invoices for retainers, and view revenue analytics. Credit notes let you refund or reverse an invoice cleanly.

This is the billing your customers module. It is different from Invoices & Payments in your organization settings, which is your Nautis subscription billing.

Who can use it

  • Anyone with read access to the Invoices module.

  • Creating and sending invoices needs create permission and a verified email.

  • The Invoices module must be enabled, and your plan caps how many invoices per month.

How to get here

From the sidebar, open Finance and click Invoices.

Step-by-step: set up invoice settings first

Before your first invoice, open Settings and fill in: company name/address/email/phone/website, logo, default currency, default notes and terms, optional signature.

Step-by-step: add a client

  1. Sidebar → Clients.

  2. Click Add Client.

  3. Fill in: Name, Email, Phone, Company, billing address.

  4. Click Save.

Bulk import option on the Clients page.

Step-by-step: add a product or service

  1. Sidebar → Products.

  2. Click Add Product.

  3. Enter Name, Description, default Price.

  4. Save.

Step-by-step: create an invoice

  1. Sidebar → All Invoices.

  2. Click Create Invoice.

  3. Form on left, live PDF preview on right.

  4. Fill Invoice Details: Invoice Number (auto), Due Date (required), Select Client (required), Currency.

  5. Add Line Items: Product (pre-fills) or Description (required), Quantity (required), Rate (required). + Add Item for more.

  6. Set Tax Name, Tax Rate, Discount Type, Discount Value.

  7. Fill optional Notes and Terms.

  8. Click Create Invoice. Starts in Draft.

Step-by-step: send an invoice

  1. Open the invoice.

  2. Click Send.

  3. Pick recipient email, tweak subject/message, confirm.

  4. Status moves to Sent.

Or use ...Mark as Sent if delivered another way.

Step-by-step: track payments

Invoice detail metrics: Total Amount, Amount Paid, Balance Due (red when outstanding), Due Date (with Overdue badge).

When paid:

  1. Click Record Payment.

  2. Enter Amount, Payment Date, Payment Method, Reference.

  3. Click Save.

Fully paid → status flips to Paid.

Step-by-step: download a PDF

  • From list: actions menu → download PDF.

  • From detail: Preview → browser Save/Print.

  • PDF regenerates on edits.

Step-by-step: edit, duplicate, cancel, or delete

  • Edit — only while in Draft.

  • Duplicate Invoice — from ... menu.

  • Cancel Invoice — from ... menu.

  • Delete — from list row.

Also Mark as Sent/Draft/Viewed from ... menu.

Step-by-step: set up a recurring invoice

  1. Sidebar → Recurring.

  2. Click Create Recurring Invoice.

  3. Pick client, line items, frequency, start date, end date.

  4. Save. Pause/edit/end from the same page.

Step-by-step: issue a credit note

  1. Open the invoice.

  2. Actions menu → Issue Credit Note.

  3. Pick lines (whole or partial), enter reason, save.

  4. Balance updates.

Step-by-step: view analytics

Sidebar → Analytics: revenue trend, status breakdown, aging analysis, top clients/products. Date picker at top.

Tips & limits

  • Fill in Invoice Settings first or branding will be blank.

  • Plan caps invoices per month — check usage.

  • Filters at the top of All Invoices narrow the list. Overdue badge in the sidebar.

  • Use Recurring for retainers and subscriptions.

FAQ

Can I send the same invoice to multiple people?

Yes — add CCs in the send dialog.

What currencies are supported?

Most major. Default in Settings, override per invoice.

Can a customer pay through Nautis?

The email has a tracked link with the PDF. Payment is collected outside Nautis; record manually with Record Payment.

What happens when an invoice is overdue?

Stays in Sent with an Overdue badge. No auto-dunning — send reminders manually.

How do credit notes affect totals?

Reduce recorded amount due. If already paid, the credit note records the refund.
